Practice Manager (Creve Coeur Location)
Job Summary:
The Practice Manager is a full-time position that provides high-level administrative and clerical support to multiple senior financial advisors of the firm. Relieves advisor of administrative details; gathers, compiles and reports information relevant to practice; may manage a number of different objectives, projects or activities at one time. Communicates with team to gather or convey relevant information. May be involved in high-level client contact and exposure to sensitive information and must use considerable tact, diplomacy and judgment.

Essential Duties and Responsibilities:

  • Deliver superior client service
  • Schedule and organize activities such as meetings, travel and firm activities
  • Manage and maintain advisors’ schedules including client review scheduling
  • Screen phone calls and take messages
  • Open, sort and distribute incoming correspondence, including faxes and email
  • Communicate with clients, verbally and in writing
  • Prepare paperwork necessary for the opening, maintaining or updating of client accounts
  • Manage client information – prepare client reports, submit and follow up on necessary paperwork, regularly update Client Relationship Manager (CRM) and financial planning software as needed
  • Conduct research when necessary for annual compliance and client reports
  • Prepare general correspondence, memos, spreadsheets and presentations
  • Electronically file and retrieve documents, records and reports from document management system
  • Multi-task, organize and complete projects in a timely and efficient manner
  • Handle confidential and non-routine information
  • Assist in general office backup procedures as needed
  • Other duties and responsibilities as assigned

Qualifications:

  • Bachelor’s degree preferred
  • Preferred 3+ years administrative experience in the financial services industry
  • Proficiency with Microsoft Word, Excel, PowerPoint and Outlook
  • Strong verbal and written communication skills
  • Strong interpersonal skills and attention to detail, as well as organizational and time management skills
  • Able to perform multiple tasks efficiently and accurately
  • Exceptional email, phone and client service skills
  • Ability to maintain integrity of sensitive/confidential information
  • Detail-oriented, accurate and organized
  • Team player, collaborative, able to work with all levels of the firm, as well as with clients
  • Able to work independently, exercise good judgment and take initiative

Formal Education & Certification Requirements:

  • Bachelor’s degree in business, finance, accounting, statistics or economics, or one to three years of relevant work experience
  • Both of the following licenses (or equivalent) required at time of hire (Paid by firm 1st attempt(s) only)
    • NASAA Series 65
    • Life and Health Insurance License
  • Proficiency with or willingness to become proficient with eMoney Advisor, Tamarac Advisor Suite, fi360®, and Morningstar™
  • financial software
  • Experience with the Microsoft Office Suite of applications; Excel, Word, Outlook, and PowerPoint
