Practice Manager (Creve Coeur Location)
Job Summary:
The Practice Manager is a full-time position that provides high-level administrative and clerical support to multiple senior financial advisors of the firm. Relieves advisor of administrative details; gathers, compiles and reports information relevant to practice; may manage a number of different objectives, projects or activities at one time. Communicates with team to gather or convey relevant information. May be involved in high-level client contact and exposure to sensitive information and must use considerable tact, diplomacy and judgment.

Essential Duties and Responsibilities:

  • Deliver superior client service
  • Schedule and organize activities such as meetings, travel and firm activities
  • Manage and maintain advisors’ schedules including client review scheduling
  • Screen phone calls and take messages
  • Open, sort and distribute incoming correspondence, including faxes and email
  • Communicate with clients, verbally and in writing
  • Prepare paperwork necessary for the opening, maintaining or updating of client accounts
  • Manage client information – prepare client reports, submit and follow up on necessary paperwork, regularly update Client Relationship Manager (CRM) and financial planning software as needed
  • Conduct research when necessary for annual compliance and client reports
  • Prepare general correspondence, memos, spreadsheets and presentations
  • Electronically file and retrieve documents, records and reports from document management system
  • Multi-task, organize and complete projects in a timely and efficient manner
  • Handle confidential and non-routine information
  • Assist in general office backup procedures as needed
  • Other duties and responsibilities as assigned

Qualifications:

  • Bachelor’s degree preferred
  • Preferred 3+ years administrative experience in the financial services industry
  • Proficiency with Microsoft Word, Excel, PowerPoint and Outlook
  • Strong verbal and written communication skills
  • Strong interpersonal skills and attention to detail, as well as organizational and time management skills
  • Able to perform multiple tasks efficiently and accurately
  • Exceptional email, phone and client service skills
  • Ability to maintain integrity of sensitive/confidential information

Formal Education & Certification Requirements:

  • Bachelor’s degree in business, finance, accounting, statistics or economics, or one to three years of relevant work experience

Paraplanner (Creve Coeur Location)
Job Summary:
The Paraplanner will directly support a Senior Financial Advisor in serving existing and prospective clients. This team member will perform various tasks, including portfolio reviews and preparing financial projections using financial planning software. You must have the ability to use critical-thinking skills, work within a team and anticipate and act on Senior Advisor needs and client questions. Qualified candidates are detail-oriented, structured and have a high degree of follow-through.

Essential Duties and Responsibilities:

  • Obtain client financial and /or suitability information
  • Conduct substantive research or information gathering that will be used with making securities product recommendations or providing investment advice (e.g. conducting due diligence, etc.)
  • Verbal and/or written communications with prospective or existing clients regarding financial matters
  • Handle large volume of email with specific adherence to Senior Advisor’s process
  • Assist in the preparation and follow up for client meetings including preparation of proposals, applications and transfer paperwork
  • Update Client Relationship Manager (CRM) and Client notes
  • Prepare and coordinate the preparation of correspondence, reports, 401(k) paperwork, account paperwork and special projects
  • Research and respond to inquiries regarding client accounts
  • Input information into financial planning software and run scenarios
  • Research information and perform detailed document reviews
  • Monitor clients’ financial situation with detail and accuracy
  • Attend client meetings with Senior Financial Advisor
  • Ability to travel with Senior Advisor 3-5 times per year for up to 3 nights and 4 days for client meetings and presentations; travel may require driving 4 to 5 hours to location
  • Occasional heavy lifting of files and materials up to 20 pounds

Qualifications:

  • Bachelor’s degree – Finance preferred or equivalent years of experience
  • CERTIFIED FINANCIAL PLANNER™ designation preferred
  • Three to five years’ financial planning industry experience preferred

Executive Assistant (Creve Coeur Location)
Job Summary:
Krilogy is seeking a motivated and adaptable part-time Executive Assistant to support the CEO approximately 25 hours per week. The successful candidate will provide high-level administrative and clerical support and ensure streamlined activities within the organization based on the priorities and strategic initiatives of the CEO. May be exposed to sensitive information and must use considerable tact, diplomacy and judgment.

Essential Duties and Responsibilities:

  • Maximize the CEO’s effectiveness by leveraging his time in a way that ensures maximum focus on the shifting and growing needs of the CEO and the Firm Initiatives
  • Perform diverse, advanced support duties, including but not limited to: coordinating strategic business projects; manage emails and active calendar of appointments; draft correspondence; coordinate travel arrangements; meeting and event planning and preparation; manage CEO’s time and expense reports; interact with all levels of the organization; and manage confidential and sensitive information
  • Manage time-sensitive deadlines related to key business initiatives, as directed by the CEO
  • Ensure the CEO is informed of upcoming events, commitments and responsibilities with appropriate and timely follow-up
  • Support planning and preparation for management meetings, executive team meetings and board meetings; create supporting meeting materials, including but not limited to: presentations, reports, proposals, meeting agenda or speaking notes
  • Attend various team meetings and document meeting minutes as needed
  • Conduct research when necessary for annual compliance reports
  • Electronically file and retrieve documents, records and reports from document management system
  • Assist in general office and front desk backup procedures as needed
  • Support and complete ad-hoc initiatives, duties and projects as and when requested

Qualifications:

  • Bachelor’s degree preferred

  • Professional competency in spoken and written English
  • Full proficiency with MS Office Tools (i.e. Outlook, PowerPoint and Excel)

  • Ability to adjust to multiple tasks and demands and constantly shifting priorities under tight deadlines and time constraints
